A brand new year means the start of a new spring semester. And, if you are a mailroom manager working in an antiquated mailroom, the start of a semester means chaos. Literally. You’ll be receiving mountains of packages from parents, Amazon and Chegg—curse the textbook rentals.
Hold tight, it’s going to be a wild rush!
Most on-campus mailrooms are a mess during the start of a spring semester. Packages are rolling in, and there’s no “mailroom” organization to speak of as such. Messy binders, unclear directions, short on hands and what not, late package deliveries are almost a guarantee for the first couple of weeks.
The students, don’t like this at all.
Therefore, to avoid unwanted confrontations with the students and your student workers, it’s imperative that you prep your mailroom for the spring semester rush.
We’ve got some tips to help you out…
Okay, the very first thing you need to do is get everyone on your team on the same page. Schedule a team meeting. Plan and discuss goals and strategies. Communicate policies that are a must and that you think will help you manage the busy workload. Share any reservations that you may have. Address any questions that your staff may have.
It’s the start of a new semester. Most likely, your student workers may not be available to assist you with your mailroom operation. Check on the availability of the staff and strategize accordingly. If your students have classes till 3 pm every day, make shift adjustments to ensure you’re not short on hands.
When the going gets tough, package tracking software always helps. It makes your entire mailroom operation streamlined, efficient and more productive. By using the software, you can digitally log in packages, inform recipients about the arrival of their packages and conveniently track any parcel that may go missing.
Roll up your sleeves and gather your team… It’s time for some serious spring package shooting!
